The Editors Canada annual general meeting (AGM) is hosted every June. It’s an important part of the not-for-profit year and an opportunity “to conduct the annual business of the association.” But you don’t need to be actively involved with Editors Canada’s business to attend!
The 2025 AGM will be held via Zoom on Thursday, June 26, from 7 to 9 p.m. ET.
Why should I attend the Editors Canada AGM?
The AGM is open to all members of Editors Canada, and we encourage you to attend!
While this is not a social event, it is a great opportunity to put faces to names and learn more about the people and the work involved with Editors Canada.
Most importantly, this is an opportunity to have a say in the organization that represents you. By voting on motions, you can help the national executive council (NEC) better understand what matters to Canadian editors and editors of Canadian texts.
What can I expect at the meeting?
The Editors Canada AGM is a formal meeting conducted according to Robert’s Rules of Order.
There is no requirement to participate. If you simply wish to observe and learn, that’s always allowed.
If you would like to participate during the meeting, you may do so during the discussion of the various motions. The deadline for substantive motions has passed, but you are welcome to make a motion from the floor on topics such as nominating someone (or yourself!) for the NEC or honouring another member.
Since 2020, the AGM has been hosted entirely online via Zoom. Holding the AGM completely online promotes equality between participants and makes setting up and running the AGM easier for the secretary and the office staff.
When you join the Zoom call, your camera will automatically be set to “off” and your microphone will be muted. If you would like to speak during the meeting, you can use the “raise hand” function in Zoom. Once the chair of the meeting recognizes you, you will be unmuted and will be able to speak.
Please note that the audio and video feeds for the AGM will be recorded, but only for the purpose of the NEC secretary compiling the minutes of the meeting. Once the minutes have been written, the recording will be deleted.
During the meeting, votes are conducted using the poll feature in Zoom. The secretary will tally the votes and announce the results after each vote has closed.
If you are unable to attend the AGM but would still like to cast your vote on the motions outlined in the call to meeting, you may designate a proxy for your vote.

What about student affiliates?
Because voting on motions at the AGM is restricted to members of Editors Canada, student affiliates are welcome to join in by phone to hear the proceedings.
